Reservations policies.


Bookings:

  1. Direct bookings (when the client personally request a quote) and indirect bookings (travel agents, promoters, etc..) can be confirmed until eleven months prior to arrival. All of them will have the same reservation policies that direct customers and its committees will be awarded according to the contract agreed with the Management.

  2. The promotion or discount fares are not refundable for direct clients or agencies or promoters, in case of cancellation, no show or early departure. Date changes are subject to availability and may do so only once. If you need to make a second change, there are no refunds in case you do not have rooms available and will be taken as a "Cancelation."
  1. The reservations are valid only through authorized websites. This is the main list: Visitixtapazihuatanejo.com, Zonaturistica.com, Hotelvillasmiramar.com, Bestday.com, Pricetravel.com, Mexico4travellers.com, Expedia.com, Orbitz.com, Hotelbeds.com. Also telephone reservations, can be confirmed with the client. We´ll ask the following information: name of the person responsible for the reservation, room type (single, double, triple or quadruple with ocean view or garden view Jr. suite), entrance and exit date, hometown, name of who is requesting such reservation, telephone reference and / or email, nightly rate, arrival time and route of transportation. Reservations have to be recorded and signed by the clerk on duty.

To confirm a reservation:
  • It can be done in two ways: The first option is with Credit Card (CC), leaving the following information: type of card (Visa, MasterCard, American Express, Discover, Diners Club), Bank Name, full card number, security code, expiration date and name of the owner. The first night will be charge.
  • As a second option, we accept cash deposits to our checking account with the amount of the first night (s) of the booked room (s). Once this transaction is made,  the client or agency has to send a copy of your data in the deposit slip by fax or email to register with your reservation and bring the original arrival. The hotel will give you within 2 business days for this deposit is made, if not pre reservation will be canceled automatically. If the deposit is recorded after two days, the Hotel is not responsible for the availability of room (s) request (s).
    It is forbidden to accept personal checks or on behalf of the Hotel to pay for accommodation and / or consumption.

Note: If any guest requires special needs (eg, crib, no smoking rooms, etc.) must apply in writing (by fax or email) as soon as possible to make it known to the Front Office Manager and be responsible.


Entrance to the hotel policies.


Arrivals:

  1. Check in is from 15:00 hrs. But in case the room(s) is/are available, we can provide them before schedule.
  2. Check out is at 12:00 hrs. However, if the client requests more time to retain the room, he/she will ask in advance for availability. If so, should cover a special assessment (half the rate paid per night up to 15:00 hrs. After this time, the room rate has to be paid in full.
  3. Regardless of arrival time, confirmed bookings through a bank deposit or credit card will be blocked.
  4. CC registered reservations will be charged the remaining (s) night (s) of the (s) room (s) request (s) at 18:00 hrs (local time, Mexico City) if the guest has not arrived yet. If your CC proceeds, will depart regardless of the arrival time of booking. If it fails, will unblock the reservation.
  5. Registered reservations by phone, email or internet with promotional fares (free nights, discounts and / or breakfast included) are not refundable and must be paid in full before arrival. At the time that the hotel receives payment through a bank deposit, electronic transfer, credit or debit card, the customer accepts and agrees the confirmation and cancellation policies.
  6. Villas Miramar Hotel is not responsible for errors or omitted data so that the client or group provides. Also, in case the Hotel has some unforeseen and / or changes done by majeure force, reservation(s) of the client or group, will be made by Sales Department, who is authorized to make any changes it deems necessary for the effective solution of the parties. As the host or group will accept no claim as proposed by the hotel.

 

Cancelations.


Reservation cancellations:

  • To cancel a direct reservation, the client has 15 days before arrival to call or email the Hotel in Low Season. And 30 days before arrival, in mid-season or high (holidays, summer holidays, Christmas and New Year, Holy Week and Easter). Cancelations before this period, the Hotel will refund the 75% of the deposit (cash).
  • To cancel an indirect reservation or group organizers or agencies, will have 45 days prior to arrival for refund of 60% of their deposit.
  • Cancellation, no show or early departure with promotional fares (discounts, free nights and / or breakfast included) are not refundable.

 

No refunds 100% after the deadline.

 

Cancellation of stay:

  • If the client or group has to advance their date of departure for any reason outside the Hotel, restrictions will applied to reimburse all or part of the nights already paid.

  • Charges: For normal rate, the Hotel we´ll charge the first night thirty days before your arrival or immediately if your call or email to reserve is less than that period. Promotional fare bookings (discounts, free nights and/or breakfast included), will be charged one night stay immediately for confirmation and upon arrival to pay the shortfall. In case your credit card expires or is not applicable, your reservation will be canceled.
  • Cancelation policies: To cancel a reservation with normal rate, a minimum charge of 25% will be applied if the guest(s) informs the Hotel thirty one days before the arrival date. A Travel agency or a group, has to notified forty five days before arrival. After this dates or No Show, the first night of the booked room(s) will be charged completely and will not be refunded. Promotional fare bookings (discounts, free nights and/or breakfast included) cancelations and/or No Show, partial or total pay will not be refunded.
  • Cancellation of stay: when the person or group has to advance their date of departure for any reason, the partial or total fee paid will not be refundable. Or if the stay hasn´t been totally paid, a charge of one night with taxes included will be applied. All our services will be charged in Mexican Pesos. The dollar exchange rate is recorded for reference only.
  • Change dates: no applied for promotional fare bookings (discounts, free nights and / or breakfast included). For normal rates, in case the person or group has to change their dates of arrival, rooms will be subject to availability and can only apply once. If there is no availability and the person can´t travel in the original dates, the reservation will be classified as canceled and the first night of the booked room(s) will be charged as penalization.
  • Change rooms: please check availability for upgrade rooms. In case we have availability, will confirm it by email or fax.
  • Change names: not allowed once the reservation is confirmed.
  • Groups: Bookings for ten or more rooms are considered as “group”. Check list will be required one week before arrival. 
  • Note: the policies of reservation, cancelation and/or confirmation that are written in this email/fax, are automatically agreed by the guest(s) or group that have already paid the first night of the booked rooms.
